Send one picture straight down the flight and one close up of a tread edge. From those we can read the nosing shape, see whether the last runner was waterfall or cap-and-band, and judge how wide the treads run. Add a shot of any ripple, open seam or worn lane. Photos never replace a tape measure, but they let us bring the right samples the first time out.

Give us the property address, the rooms, what is on the floor right now, what you want instead, and roughly when you want it done. Tell us whether you are living in the house during the work and whether the furniture stays. If it is a condo or an office, mention the elevator, the loading dock and any work-hour rules, because those change how we schedule the crew.
For carpet, describe what you see: ripples in the middle of the room, an open seam, a tear, a stain, a worn lane down the hall, or edges pulling away from the tack strip. For wood or vinyl, tell us about cupping, gaps between boards, boards that move underfoot, or a transition strip that has lifted. If you are not sure whether the room needs replacing, read carpet repair and carpet stretching first.
Our first reply will usually ask questions back. How much traffic does the room take? Any pets? Is the floor over a slab, a crawlspace or a heated basement? Is there a history of water down there? What is on the floor next door, and how high does it sit? Those answers decide the cushion, the backing and whether you need a moisture barrier, and they matter more than the shade you liked in the showroom.
Do not treat a start date as booked until we have confirmed the material, the prep and the access. Rolls run out. Subfloors need a day of repair. Glue and wood finish need time to cure before you walk on them.
